How to archive or unarchive a person and how it affects your data

1. What does “Archive” mean?
Archiving a person in Connection Card Pro:
- Hides them from day-to-day tools and lists
- Protects their history (attendance, giving, notes, etc.)
- Stops them from receiving any future messages or notifications
- Frees up space toward your account’s contacts limit
Archiving is reversible. You can unarchive someone at any time and they’ll reappear exactly where they were.
Archive instead of Delete
Deleting is permanent, can't be undone and removes their record and history. In most cases, you should archive, not delete.
If you are deleting a duplicate person, we recommend use Consolidate instead, which will automatically delete the record after transferring all data to the other profile.
2. When should you archive someone?
Common examples:
- A family has moved away or is no longer connected to your church
- A short-term guest or event attendee you don’t need in your active list
- Former volunteers or staff that you want to keep on record but not contact
Important for Donors:
If a person has donated during the current tax year, wait to archive them until after you’ve generated and sent tax receipts for that year.
3. How to archive a person
- Go to People > View People and find the person.
- On the right side of their row, click the three-line “More” menu (next to View and Edit).
- Choose Archive Person.
- Confirm when prompted.

Once archived:
- Their row disappears from the main person list.
- You’ll see an “Archived” badge on their profile if you open it directly.
- You will no longer be able to edit their profile (unless you unarchive them).
4. How to view archived people
If you need to find someone who has been archived:
- Go to People > View People.
- Click View Archived on the top right of the list.
- The list now shows only archived people.

5. How to unarchive a person
From the Archived list:
- Go to People > View People > View Archived.
- Find the person you want to restore.
- Click the three-line “More” menu next to their name.
- Choose Unarchive Person.

Or from their profile:
- Open the archived person’s profile (it will show an Archived label).
- Click the Unarchive link or button (text may say “Click here to unarchive”).
After unarchiving:
- They reappear in the main People list.
- They return to any Groups, Lists, and Tag Binders they previously belonged to.
- They can again receive messages, notifications, and communications.
- They once again count toward your contacts limit.
6. How archiving affects your data
When a person is archived:
- ✅ Historical data is kept
- Attendance history
- Giving records & tax receipt history
- Notes, interactions, follow-ups, memberships, etc.
- 🚫 They are removed from all active views and actions
- No longer visible in the main People list
- No longer appear in Groups, Lists, or Tag Binders
- Won’t be available to select when sending emails, texts, or notifications
- Won't receive any automated communications
- Cannot be edited until unarchived
- ✅ They do not count against your contact limit
- Helpful if you have many “former” contacts but want to keep their history.
7. Practical examples
Example 1 – Family that moved away
The Johnson family moves to another city. You’ve already recorded their giving and sent their tax receipt for the year.
You archive each family member so they no longer appear in your active lists or follow-up queues, but you still keep their history for records.
Example 2 – Event-only attendee
Someone attended your Christmas concert and made a one-time donation. After year-end tax receipts are generated and sent, you archive their profile.
They stay in your giving history, but won’t receive future church-wide communications.
